StenoWorks Shipping & Returns

These Shipping & Returns policies apply to purchases made from StenoWorks, Inc. (“StenoWorks,” “we,” “our,” or “us”) through our website, by phone, by email, by invoice, or otherwise, unless separate written terms apply.

These policies are incorporated into and subject to the StenoWorks Terms of Sale and Conditions. Product defects covered by an applicable warranty are handled under the applicable warranty and are not processed as ordinary returns. For qualifying pre-owned writer equipment, please see the StenoWorks Limited Warranty for Pre-Owned Writers.

1. Shipping Policy

StenoWorks ships from Florida and may use FedEx, UPS, USPS, a freight carrier, drop shipment, or another carrier or fulfillment method of its choice unless otherwise expressly agreed in writing.

Shipping dates and delivery estimates are approximate only and are not guaranteed unless StenoWorks expressly agrees otherwise in writing.

To improve service or speed delivery, StenoWorks may substitute a comparable carrier or shipping method, or may arrange for direct shipment from a manufacturer, distributor, or supplier where commercially reasonable.

Product availability shown on the website does not guarantee immediate in-stock status. Some items, including refurbished, configured, tested, customized, or built-to-order products, may require additional processing time before shipment.

2. Shipping Charges; Free Shipping Promotions

Shipping charges are calculated at checkout unless otherwise expressly stated.

Any free shipping promotion applies only as expressly stated at the time of purchase, may be changed or withdrawn at any time before order acceptance, and generally applies only to qualifying orders shipped within the continental United States.

Unless expressly stated otherwise, free shipping promotions do not apply to:

  • international orders;
  • orders shipped outside the continental United States;
  • expedited shipping services;
  • freight shipments or oversized shipments;
  • duties, taxes, brokerage fees, or customs charges; or
  • special handling, insurance, installation, or customization charges.

3. International Orders

International shipping rates may be presented at checkout or quoted separately. All international shipping charges are the responsibility of the customer unless StenoWorks expressly agrees otherwise in writing.

International customers are solely responsible for all duties, taxes, customs charges, brokerage fees, import fees, compliance with local law, and any other charges associated with international shipment and importation.

4. Delivery Delays; Carrier Issues

StenoWorks is not responsible for delivery delays, non-delivery, or interruption caused by carrier delays, customs delays, weather events, supply shortages, labor disruptions, governmental action, cyber events, or other causes beyond StenoWorks’ reasonable control.

If there is a delivery issue, we encourage you to contact us promptly so that we can assist in coordinating with the carrier where appropriate.

5. Order Changes and Cancellations

If you need to change or cancel an order, you must contact StenoWorks as soon as possible. Requests to change or cancel an order must be received and confirmed by StenoWorks before the order has shipped and before any testing, customization, configuration, or special procurement has begun.

If an order is customized, configured, tested, specially procured, prepared for shipment, or shipped before StenoWorks confirms the requested change or cancellation, the customer may be responsible for a cancellation fee, shipping charges, return shipping charges, and any costs already incurred by StenoWorks.

6. Return Authorization Required

No return will be accepted without prior authorization from StenoWorks.

To request a return, exchange, repair intake, or warranty review, please complete our RMA process or contact us to obtain a Return Merchandise Authorization (“RMA”) number and return instructions.

When requesting an RMA, please be prepared to provide:

  1. your order number;
  2. a brief description of the reason for return;
  3. your name, address, phone number, and email address; and
  4. any additional information reasonably requested by StenoWorks to process the request.

The RMA number must be clearly shown on the return shipping label. Packages returned without a valid RMA number or not returned in accordance with instructions may be refused and returned to sender at the sender’s expense.

7. Writer Returns

Non-rental steno writers may be eligible for return within ten (10) days after delivery, but only if StenoWorks has issued proper return authorization.

Approved writer returns are subject to:

  • a 10% restocking fee;
  • deduction of any customization, configuration, installation, or expedited processing charges;
  • deduction of outbound shipping charges incurred by StenoWorks, including on “free shipping” orders; and
  • return shipping charges, which are the customer’s responsibility unless otherwise agreed by StenoWorks in writing.

Rental writers are not subject to this return policy and are governed by the applicable rental agreement or rental terms.

8. Non-Writer Returns

If the item is not a steno writer, returns may be accepted only if authorized in advance by StenoWorks and only if the item is returnable under the applicable product listing, invoice terms, or written approval.

Approved non-writer returns generally must be received within ten (10) days after delivery in new, unused condition with all original packaging materials, manuals, inserts, uncompleted warranty cards, and included accessories.

Approved non-writer returns are generally subject to a 15% restocking fee.

9. Late Approved Returns

Returns requested after the initial 10-day return window, but no later than thirty (30) days after delivery, may be approved by StenoWorks in its sole discretion on a case-by-case basis.

Any such approved return may be subject to a restocking fee of up to 25%, together with shipping, handling, and other applicable charges.

10. Condition of Returned Items

Returned items must be received in the same condition in which they were delivered, normal transit excepted, and must include all original accessories, packaging, manuals, inserts, and other included items.

StenoWorks may reject the return or reduce the refund if the returned item is damaged, altered, abused, incomplete, missing parts, improperly packed, or shows signs of misuse, excessive wear, unauthorized modification, or customer-caused damage.

Products returned in unacceptable condition may be returned to the customer at the customer’s expense.

11. Non-Returnable Items

Unless otherwise required by law or expressly approved by StenoWorks in writing, the following items are not returnable:

  • software;
  • digital content or media, including content delivered on CD, DVD, tape, download, or similar media;
  • consumable items, including batteries, media cards, and similar products;
  • closeout items, discontinued items, final-sale items, and clearance items;
  • special-order, custom-order, built-to-order, or made-to-order products;
  • items marked “not returnable” on the product page or invoice; and
  • other items identified by StenoWorks as non-returnable at or before the time of sale.

12. Manufacturer-Warranted Items

Certain items may be covered primarily by the original equipment manufacturer’s warranty rather than by StenoWorks. Where applicable, warranty service for those items may be limited to the manufacturer’s warranty process.

13. Refused Shipments

If a shipment is refused, undeliverable, or returned due to customer inaction, incorrect address information, or failure to accept delivery, the customer is responsible for all outbound shipping, return shipping, duties, fees, carrier charges, handling charges, and any other costs incurred by StenoWorks.

14. Shipping Damage; Wrong Item; Shortage Claims

You must inspect your order promptly upon delivery.

If an order arrives damaged, incomplete, or incorrect, you must notify StenoWorks in writing as soon as possible and, in any event, within the time period required by the applicable Terms of Sale.

Please retain all packaging materials, labels, and contents so that a carrier claim, insurance review, or return review can be properly handled.

15. Warranty Claims Are Not Standard Returns

Product issues that may be covered by an applicable limited warranty are handled under the relevant warranty process and not under the ordinary return rules above.
